Privacy Notice

How NPHLA collects, uses and protects personal information — including membership applications, member profiles and public verification.

Information we collect

  • Membership applications — your name, contact details, location, current role and organization, discipline and practice setting, professional license type and issuing jurisdiction, and (optionally) your license number and NPI, together with your answers about leadership interests and why you want to join.
  • Member accounts and profiles — your Member ID, membership category and dates, the profile details you add, and your visibility and email preferences.
  • Event registrations, including any accessibility or dietary requests you choose to share.
  • Payments and contributions, where online payments are enabled. Payments are processed by our payment provider; NPHLA does not receive or store full card numbers.
  • Messages and form submissions, such as contact requests, partnership inquiries and pharmacy listing suggestions.
  • Technical information needed to run and secure the site, such as IP addresses in server logs.

We do not ask applicants for Social Security numbers, passports or identity documents.

How applications are reviewed

Applications are visible only to NPHLA staff responsible for membership review and administration. Reviewers may check an NPI you provide against the public NPPES registry. Every review action is recorded in an internal audit history. Internal reviewer notes are not shared with applicants.

Public verification and the member directory

Approved members receive a Member ID. By default, anyone with that ID can confirm on our verification page that your membership is current, together with your name and member-since date. You can turn verification off in your account. The member directory is opt-in, and you choose which additional details (such as credentials, role, organization, location or interests) appear. Your email address, phone number, license number and NPI are never shown publicly.

Health information

This website is not designed to collect health information. Please do not send personal health details through our forms. If you do, we will delete them where we can.

How we use information

  • To review membership applications and provide memberships and member services.
  • To respond to your questions and requests.
  • To send service emails (such as application updates) and the email updates you have chosen.
  • To keep the website secure and working properly.
  • To meet legal and accounting obligations.

We do not sell personal information.

Service providers

We use service providers to run this website, including website hosting and file storage (Vercel), a managed database (Neon) and email delivery (Resend). They process information on our behalf and only as needed to provide their services.

Analytics

If NPHLA enables website analytics, we will use a privacy-focused service that does not use advertising cookies, and we will honor Global Privacy Control and Do Not Track signals. You can also opt out on our privacy choices page. See our cookie notice.

Your choices

You can update your profile, visibility and communication preferences in your account, unsubscribe from emails at any time, withdraw an application using your private status link, and contact us to request access to, correction of, or deletion of your information.

Retention and security

We keep information only as long as needed for the purposes above or as required by law. Application records and their audit history are kept so membership decisions can be explained and reviewed. We use administrative and technical safeguards — including encrypted connections, role-based staff access and hashed private links — to protect information.
